Calendar sharing overview

You can share a calendar both publicly and privately with other people. Sharing gives you flexibility in managing calendars. For example, you could create a calendar for your child’s sports team and share it privately with just the coaches so they can edit it. You could also share it publicly with all the parents so they can view (but not change) it whenever they want.

Sharing works as follows:

  • Public calendars can be shared with anyone. To access public calendars, visitors need to use Calendar on a Mac, Microsoft Outlook on a Windows computer, or any other app that supports the iCalendar file format.A public calendar can’t be edited by anyone but the calendar owner (the creator).
  • Private calendars can be shared with other iCloud users.Participants can view the calendar using iCloud Calendar; the Calendar app on iPhone, iPad, iPod touch, or a Mac; or Microsoft Outlook on a Windows computer.

As the owner (creator) of a shared calendar, you assign edit privileges to the invitees to control who can modify the calendar. There are two types of access privileges that can be assigned:

Participants with View Only access can:

  • View the calendar and change their view (from day to week, for example), without affecting the view of other participants
  • Change their own calendar preferences

Participants with View & Edit access privileges can do everything listed above, plus:

  • Create and delete calendar events
  • Change details (for example, the name, date, and time) for calendar events
  • Track the responses of guests invited to a calendar event

Participants can’t invite new people to a shared calendar.

Note: If multiple participants try to edit a shared calendar at the same time, the changes that are saved first are kept and reflected in the calendar. The person whose changes arenʼt saved sees a message that his or her changes werenʼt saved.

If you disable your iCloud account, any shared calendars you created become unavailable; all participants automatically receive an email notifying them that the calendar is no longer shared.

More details can be found on the Apple website.

Enable IMAP in your Gmail

You can download messages from Gmail and see them using a program like Microsoft Outlook, Apple Mail, or Thunderbird, even when you aren’t online. This process is called POP or IMAP, and is free for all Gmail users.

Tip: We recommend using IMAP if possible because it’s the best way to make sure you can see all your mail at any time on all of your devices. If you’d like to use POP instead, learn how to enable POP in Gmail.

Enable IMAP in Gmail

  • You can retrieve your Gmail messages with a client or device that supports IMAP, like Microsoft Outlook or Apple Mail.

Step 1

Step 2

  • Click the gear in the top right .

Step 3

Step 4

Step 5

  • Select Enable IMAP.

Step 6

  • Click Save Changes.

Gmail IMAP Settings

Note: This setting is not available while using the basic HTML view of Gmail. To enable IMAP, use the standard view instead. Find out more about standard view and basic HTML view.

Step 7

  • Use the table below to update your email program with the correct information.
Incoming Mail (IMAP) Server: imap.gmail.com
Requires SSL: Yes
Port: 993
Outgoing Mail (SMTP) Server: smtp.gmail.com
Use Authentication: Yes
Port for SSL:: 465 or 587
Use same settings as incoming mail server

Account Name or User Name: your full email address (including @gmail.com or @your_domain.com), e.g. myself@mydomain.co.uk
Email Address: your full email address (including @gmail.com or @your_domain.com)
Password: your Gmail password

Enable POP in your Gmail

You can read your Gmail messages from a client or device that supports POP, like Microsoft Outlook.

Step 1: Enable POP in Gmail

  1. Sign in to Gmail.
  2. At the top right, click Settings Gear icon.
  3. Click Forwarding and POP/IMAP.
  4. Select Enable POP for all mail or Enable POP for mail that arrives from now on.
  5. Choose what to do with your messages after your POP client or device receives them. We recommend the first option, keeping Gmail’s copy in the inbox.
  6. Click Save Changes.

Although the radio button next to your selected option may not stay selected, Gmail displays the status next to ‘POP Status:.’ When you enable POP, your settings display ‘POP Status: POP is enabled.’

If your POP settings are turned off, the status will indicate that POP is disabled.

Once you’ve enabled POP in your Gmail settings, you need to configure your client.

Step 2: Configure client

Go to your client (e.g., Microsoft Outlook) and make sure these settings are correct.

Apple are stupid, and they think you are too, so they only ask for your basic details to begin with. Enter the following information and press Next:

  • Email: Enter your full email address (myself@mydomain.co.uk)

By this point your device has now realised you’re not stupid, so it will ask you for more details …

Step 7 – IMAP or POP ?

  • Make sure you choose IMAP from the Type dropdown if you want to synchronise all your mail folders across your computers and mobile devices.
  • OR select POP if you just want to have a simple mail account where you have no folders other than your inbox AND you do not need to synchronise your emails for this account across your computers or mobile devices.
  • WARNING – Once you have saved your account as IMAP or POP, you cannot change this setting without first deleting the mail account (and possibly deleting all your email from your computer by accident), or setting up a duplicate mail account with a different IMAP or POP setting.

If in doubt about whether to use IMAP or POP, always use IMAP.

To save the information entered so far, click the Save text button at the top right of the window.

      • if your outgoing server hostname says http://smtp.livemail.co.uk you need to correct it to say smtp.livemail.co.uk instead.
      • also check to see if there is a space character in any of the fields, or if you have entered an @ instead of a . (dot) in the server names.
